Please follow the instructions below regarding the handling of Window labels and ink:
1. Upon Receiving Labels (Non-Sonic Dealers):
Provide one ream of labels for immediate use.
Keep the remaining labels as spare in your inventory.
2. Monitoring Inventory:
When only one spare ream remains, submit a request to order additional labels.
Never let your inventory run out, always maintain a spare set of labels
3. Monitoring Ink:
Check ink levels once a week to ensure they are sufficient.
Always maintain a spare set of ink
4. Submitting Requests:
When requesting window labels or ink, always include the dealer names for whom the items are being requested.
Different dealers use different labels and inks, so including dealer names ensures accurate fulfillment.
5. Upon Receiving Labels (Sonic Dealers):
Drop the labels sent for them directly at the dealership, as they will be charged for them.
Do not switch labels sent for them with other dealers.
If it becomes absolutely necessary to switch them, please reach out to Corey or Anthony and Smita so we can coordinate and make any necessary adjustments.
6. Carrying Labels While On the Job:
Labels should be with you at all times when on the clock, even if you're not scheduled for a window label account. We keep track of who has labels and if a nearby store needs them, you may be required to meet with another photographer or drop them off to the store.

A quick reminder for everyone working with window label dealerships. Please do not tap “Success” in the app until you have confirmed that the labels have fully printed, printed on the correct side, and on the correct type of label.
Once “Success” is selected, the system registers the job as complete. If labels need to be reprinted after that point, the dealership is charged a second time, which creates additional work for our team to correct it.
Taking a few extra seconds to verify the print before marking the job as complete helps avoid billing errors and keeps our dealer relationships strong.

We have had some recent equipment issues that could have been resolved had we known about them earlier. It's very important that all equipment issues, damages, or loss, is communicated immediately so we can address them quickly, prevent further damages, and minimize disruptions during the work day. Unreported damages, loss, or malfunctions, can cause delays or incomplete work at dealerships, force last minute schedule adjustments or unserviced dealers, and increase our repair costs if the damage gets worse or the equipment is no longer functional.
Once you're aware of any damage or malfunctions, please let your manager know if it will affect your day and fill out the supply request or supply repair form so we can get this resolved as quickly as possible. We are hoping that everyone can be transparent with the company equipment and if something goes unreported in the future, you may be charged for the repairs.
Moving forward, our policy will be to immediately report any damage, loss, or issues with company equipment, no matter how minor it may appear. This includes any damages to the phone (screen, back, lenses, functionality), Theta and accessories, carabiners, equipment bag, Pix stickers, labels, and all other company issued equipment or supplies. If you have any issues with the equipment as of now, please report them by the end of the day today.
Our goal with this is to allow everyone to work efficiently with reliable tools to get the job done. Feel free to let Corey know if you have any questions or concerns.

Please make sure to plug in and fully charge all equipment as soon as you get home. This helps ensure that everything is fully charged for the next day and confirms that you have all assigned equipment safe and in your possession. Under no circumstances should equipment be left in your car overnight.
All equipment should be brought with you each day, even if you do not think you will need it. Schedules and needs can change, and having all equipment on hand is essential to staying efficient and prepared. If any equipment is lost at any point during the workday, you must notify your manager immediately.
If you experience any issues with any equipment, please report them immediately using the appropriate supply request or repair request form so we can address them as quickly as possible.

When a vehicle is marked Sold – Keep Active, Wholesale – Keep Active, or Dealer Trade – Keep Active, it goes through review and is then removed from your list so we don’t re-check it daily. If you later find the vehicle and it’s photo ready, please shoot it, the deal likely fell through or the vehicle was kept instead of wholesaled.
When re-marking these units, add a note with the previous status to help locate keys quickly. This saves time since keys may be with finance, a salesperson, or elsewhere if the deal didn’t finalize. Over the next few days, we’ll be updating older sold/wholesale/dealer trade units to Update Status. If you cannot locate a vehicle with this status, notify dealership management.
For the notes popup after marking a vehicle, always update location details, blocker units, and who has the key. This ensures you and any supporting photographer, can work efficiently and avoid delays.

We have noticed quite a few photographers recently shooting new cars before used ones. While we see new and used cars as equally important, and the expectation remains to complete ALL new and used units each day, used cars are a higher priority to the dealers since their market value changes more frequently.
Moving forward, please make sure all used units are completed before moving on to new vehicles. This approach will allow us to ensure every available vehicle can get shot each day, provide the dealers more time to resolve issues we might have with the units, and also allow more flexibility with schedule adjustments or coverage since the time change has shortened our days a bit.

Daylight Savings Time ends this weekend. Starting Monday we will be limited on daylight and we will not be able to shoot as late as we have been in recent months.
Punctuality is crucial to keep our schedules running smoothly and to get our customers taken care of each day. Starting next week, we will be very strict about our 8 am start time. Please plan ahead to ensure you're on-site and ready to begin work by 8 am sharp!

Some badge and trim-level photos are being taken too wide, showing dealership license plates, other vehicles, or background distractions. In some cases, the focus ends up on tail lights instead of the actual badge or decal.
To maintain consistency, especially as more dealerships use background replacements, these detail shots should be tightly framed on the badge or trim itself. Full backgrounds and surrounding vehicles should not be visible.
When photographing Global Library dealerships, take extra care to avoid capturing any license plates, plate frames, or dealership branding in these images.
These photos will be reviewed closely moving forward, so please adjust your framing to ensure clean, professional, and consistent badge photos.

Please update to the latest Test Flight version (check your email for the notification or use the provided link). We've seen crash reports from outdated versions (2–21), so it’s important everyone is on the same version for consistent testing.
Managers: confirm with your teams that updates are complete.
Important: If you’re printing window labels, buyer’s guides, or QR labels from the app, you must update, the older versions are causing print errors. Also, review printed materials right away so issues can be fixed before they’re applied to vehicles.

We’ve noticed that our quality standards are not being met consistently in several areas. To address this, we’ve asked all managers to conduct more thorough reviews until we’re back on track. You may see more reviews coming through than usual as a result.
The most common issues we’re seeing include:
Items missed in the checkboxes before shooting exteriors or interiors
Lighting inconsistencies
Not using the default zoom levels for exteriors
Shot height and angle not aligning with the guides
Spin start angle and duration
Please take extra care to review these areas during your shoots to ensure consistency and quality across the board.
If you have any questions or need clarification on expectations, don’t hesitate to reach out.

When you check out keys from the computerized system, it’s your responsibility to make sure they’re returned. Please don’t hand keys directly to salespeople, vendors, or service techs. Instead, walk with them to the KeyTrak so you can return the key, and they can check it out under their own name. This helps us stay in line with company policy and avoids any confusion about who has which key.
If someone has a customer waiting, you can unlock the vehicle for them, but be sure to put the keys back into the system right away so they can check them out properly.
It’s also important to keep track of how many keys you have at all times, including blockers, to ensure we're returning the same amount when we're done shooting. If a key is misplaced or lost, we need to find it the same day. Please let your manager know immediately if you notice a key you’ve checked out is missing.

We've had quite a few cars lately that have been delayed or we've needed to manually photoshop due to the staging area being used. Although we don't have to have a completely clear background, we do want to stage the vehicles in an area with space behind the vehicle. When parking close to other vehicles, signage, or colored curbs, we risk those getting picked up with the vehicles.
Instead of parking cars parallel to other units, can everyone please try to find a more open area, even if it's parking the vehicle diagonally in the middle of a row to prevent this from happening?

When you activate Sirius XM on a vehicle it's mandatory that you get a shot of the radio within the SiriusXM Dealer app AND Foto Ops. When reviewing our Sirius XM report there are A LOT of vehicles that we are missing the activation photo within Sirius XM which is how we get paid for the activation.
If you are having any issues with the activation or the radio doesn't update, please do not take the shot in Foto Ops. If you have any questions or experience frequent issues with this, please email support@promotionpix.com.

We have made some adjustments to our Sirius XM availability to increase the number of activations for cars that just came into our system. We are currently receiving data from Sirius XM, which is obtained from the dealer's DMS. We have added the activation ability to all vehicles until they turn 5 days old. If the car is more than 5 days old and does not have a Sirius XM button, it means the car does not qualify. If you encounter a vehicle without a button or one that has a button but lacks SiriusXM capabilities, please skip the activation process.

When sending a VIN to support or your manager for review, it's imperative that you copy and paste the VIN from Foto Ops rather than just taking a screenshot. Following this process will enable the person investigating it to locate the vehicle and respond accordingly quickly.
To copy the VIN and vehicle details, press and hold the vehicle information in Foto Ops, and the required information to locate the vehicle will automatically copy. Please refrain from taking screenshots unless we specifically request them or if you need to demonstrate an issue. When you have these, please also include the vehicle information by copying it and pasting it into the email.

If you’re experiencing upload problems, do NOT delete images from your camera roll until all units have uploaded successfully.
✅ Best practice: Clear images weekly (not daily) so they’re available in case of feed issues.

We’ve had reports of vehicles being shot without Pix stickers. This slows everyone down and creates extra work for coverage.
Process:
Always sticker vehicles before exterior photos so it’s clear they were applied at the time of shooting.
For library dealers, search and sticker completed vehicles.
We’ll be monitoring and following up if vehicles are missing stickers.
Maintaining this process keeps efficiency high and helps everyone. Reach out to your Manager or Corey with any questions.

There is a brief video below explaining the new policy and why it's important. Most of you already have the new polo shirts. For those who have received the polo shirts, the dress code is in effect immediately. If you are a size small, your shirts are on the way and the policy will be in effect the day after your package arrives.
We will be doing audits on the dress code policy to be sure that everyone is meeting the new guidelines. Employees who are not meeting the guidelines or who do not complete the 4 minute assignment are not eligible for photo pay until it's corrected, so please be sure you are sporting the company colors!

If there are units that do not have the Sirius XM banner, please skip those units. Unless you see that NONE of the pre-owned units in inventory have that badge, there is no need to send individual tickets.
Not every unit will qualify for the activation process which is why you will see some units without the icon.
HOWEVER, with some Dealers that have odd setups, we noticed that the VIN wasn't syncing up with the Sirius XM ID and that caused some issues. I am working on that but, if that were the case, no vehicles in the inventory would have the Sirius XM flag.
The only part that should be skipped would be the Sirius XM activation. The Photos are a separate process and always required. Sirius XM is an add-on process that we incorporate to help our staff maximize their income with each vehicle that they come in contact with that qualifies for that service.

Reminder – Unblocking Vehicles for Photos
It’s expected to unblock vehicles to get a full photo set. Many “blocked in” units are missing blocker stock numbers, service tags, or VINs in the notes, which makes it inefficient to move them.
Best practice:
Mark the vehicle for photos.
Add the blocker stock # or VIN in the notes.
Update status to Blocked In as a reminder to grab both the vehicle key and blocker key(s).
If there’s a service tag, write it down- it helps if the vehicle isn’t logged yet or is a customer service vehicle.

Application: Apply labels while walking the lot, before shooting. (Exception: Lithia Auto Group – apply during interior shots.)

Reminders about Sunroof / No Sunroof Shots. When framing these, we would like to see the shot taken from the front, close side, corner of the passenger seat at an upward angle so we can see the seatback and sunroof (sunroof) or seatback and headliner (no sunroof). We are currently seeing a lot of photos with only the tops of the headrests, headliner, or not showing the sunroof at all. We want to maximize the content in all of our wide angle shots and we're not helping our customers by framing these in a way that doesn't fit the guides in Foto Ops.

In the soft glow of love, he’s never felt so far.

As he cradles his daughter, discovering more.
