Please CALL your manager on their cell phone PRIOR TO 6:30 am if you are too sick to work.
If you can't get a hold of your manager, please reach out to Corey LaHerran. Figuring out coverage when someone is sick is very difficult and it’s near impossible when it’s later in the morning. Sometimes we have to send someone from 2 hours away to cover your route.
Please make sure it’s a phone call. If you get voicemail, please try again or call Corey. DO NOT TEXT OR EMAIL.
Text or email callouts will be considered unexcused and are not eligible for sick pay.
Because of our company’s small size, we cannot function without every employee. For this reason, if you are called for jury duty, we will likely need to provide you with a letter from Human Resources, asking to be excused from Jury Duty.
Employees are required to call in or report for work on those days or parts of days when their presence in court is not required.
Please fill out this form as soon as you learn you may be called for jury duty.
All employees must take a 10 minute rest for each half day worked (2-4 hours). Generally, for a full 8 hour day, this means that a break should be taken towards the middle of the morning, and a break should be taken towards the middle of the afternoon. Most photographers take these breaks between sets of keys or once they have completed the dealership that they are working on. These 10 minute breaks aren't quite enough time to go somewhere. Most of the team grabs a snack or drink from their car, use the restroom, or check their personal phone during these rest periods.
Your 30-minute lunch must be taken before the start of your 5th hour of work. This is not our company policy, it's California law. For example, if you were to start at 8:00 am, you would need to take your lunch break by 12:59 pm. In order to avoid going over this time period, it is suggested that everyone take their lunch break as close to 12:00 pm as possible. Just like with the 10-minute breaks, you will want to do this when it's efficient to do so.
Field staff should leave personal cell phones in their car, not carry them on their person. Field staff may give the company cell phone number for family or friends in the case of emergencies. For safety reasons, all field personnel may only have a headset or headphones in or on one ear.
Some dealerships have a no headphone policy. Please be respectful of each dealers policies when it comes to this. You should never take personal calls while working even if it's on the work phone.
You should reply to all calls, texts, and emails within 15-20 minutes of when they were sent. You should reach out to Smita or Corey if you’re having any issues with your notifications.
You should reply to all emails directed toward you or your team so the sender knows you have read it. A simple reply is all that would be required unless you’re asked something specifically. You should always “reply all” unless the sender has requested otherwise.
Our company focuses on efficiency on all sides of the company. A simple response such as "understood", "will do", etc. will suffice if something is being asked of you.
Smoking, vaping or being in possession of lit cigarettes, e-cigarettes, cigars or pipes is not permitted anywhere at dealership locations (customer premises), including designated smoking areas. Smoking and/or vaping should be kept to your allotted break times and off the dealer premises.
You should check the lens before shooting each car to make sure that it is clean. This goes for the iPhone and Theta cameras.
Never put any stickers on any of the equipment.
If there is any problem with any of your equipment, contact your manager or office immediately.
Make sure to charge all batteries every night including your portable battery charger, and Theta 360 camera even if you're not scheduled for a video dealer the next day.
Double check that you have all of your equipment with you before leaving for work. This includes chargers, charging wires, window labels, ink, and any spare equipment that you may have.
Make sure NOT to change the camera settings on your iPhone or Theta 360 camera.
The Theta camera should always be removed from the tripod and kept in the protective sleeve unless you're actively capturing an interior 360 image.
Please make sure to update your phone's iOS and Theta firmware as updates become available.
Make sure to leave your equipment hidden or in the trunk while at dealership lots.
When you get home from work, please put your equipment on the charger so that you're all set for the next day.
Please use the Supply Request Form on your phone to send in any equipment & accessories requests.
The Theta 360 camera comes with a soft protective sleeve that should always be used when you're not using the camera. This will protect it from scratching. All of the broken or scratched Theta cameras have occurred when not following company policy.
When walking the lot or between vehicles:
When you're not using the Theta camera, please make sure that it's in the protective sleeve and that you remove it from the tri-pod using the quick release mount. You should keep the camera in your backpack or pocket when not in use. The only time the camera should be on the tripod is when it's positioned on the center console and your capturing your shot.
When Shooting:
When capturing the 360 interior image. It's important that the base of the tripod is secure and that you don't slam the door behind you so that the tripod doesn't tip over.
Storage:
You should always store the Theta 360 in it's sleeve and in your company backpack when you're travelling between dealerships.

When we are driving the dealership vehicles on the lots and to nearby staging locations we are not only representing Pro-MotionPix but also the dealership itself. We want to make sure that the vehicles are being driven with more respect than we would our own vehicles and that we minimize our chances of damaging vehicles, hurting anybody, or driving in a way that would reflect poorly on our company or the dealership.
All employees at Pro-MotionPix should adhere to posted speed limits and wear a safety belt if driving the vehicles off dealer property.
On dealership property all vehicles should be driven at a safe speed. Dealership lots can be very busy and we want to ensure that we’re not putting ourselves or others at risk.
At private property off-site staging locations, right away should be given to all other vehicles, cyclists, and pedestrians. Speeds must be kept to a maximum of 10 MPH if an off-site, privately controlled parking lot.
If using bluetooth or a headset, no more than one ear can be covered or used.
If air quality is poor, or there are wildfires in the area affecting the air, please use an N95 mask to protect your lungs.
All work locations provide access to water. Employees are encouraged to drink water as much as possible, especially when the temperature rises. Many heat related problems can be eliminated by staying well hydrated. It is recommended that employees bring a portable water botte to work, and refill it often.
Employees are encouraged to seek indoor, air conditioned areas too cool off in high heat environments. Extra breaks are encouraged in temperatures over 80 degrees, and seeking shaded indoor areas are mandatory for anyone feeling signs of heat related illness.
New employees entering the staff during a period of high heat should limit the time they spend in high heat, and build up slowly.
If you are showing any signs or possible signs of heat illness, please call the office immediate at 800-760-0611.
